Declaration of data protection
We take data protection and confidentiality very seriously and adhere to the current national data protection regulations. Please read this information about data protection carefully before submitting a report.
Purpose of the whistleblowing system
The whistleblowing system (BKMS® System) offers a safe and confidential method of receiving and processing reports about anti-doping rule violations or other criminal behaviour.
Responsible authority and data security
The responsible authority for the data security of the whistleblowing system is the German NADA (National Anti Doping Agency Germany). The whistleblowing system is run on behalf of NADA by a specialised company, the EQS Group GmbH, Bayreuther Str. 35, 10789 Berlin in Germany.
Personal data and information entered into the whistleblowing system are saved in a database operated by EQS Group GmbH in a high-security data centre. Only NADA has access to the data. The EQS Group GmbH and other third parties do not have access to the data. This is ensured by extensive technical and organisational measures within the certified process.
All data are encrypted and saved with multi-level password protection, so that access is limited to a very small number of explicitly authorised NADA employees.
Type of collected personal data
The use of the whistleblowing system is voluntary. When you wish to submit a report using the whistleblowing system, we collect the following personal data and information:
- Your name, if you choose to reveal your identity, and
- potentially names of people or other personal data of people mentioned in the report.
Confidential handling of reports
Reports are received and processed in a strictly confidential manner by a small circle of explicitly authorised and specially trained employees of the legal department and the Intelligence & Investigations department of NADA. Employees from the legal department and the Intelligence & Investigations department examine the situation and, if necessary, carry out further case-related fact-finding measures.
In the context of processing a report, or during an investigation, it may be necessary to forward reports to further NADA employees or investigating authorities for the purpose of prosecuting criminal behaviour. Each person receiving access to the data is obliged to maintain confidentiality.
Duration of storage of personal data
Personal data are stored as long as necessary for the intelligence and subsequent investigation of the case. After the processing of the report is finished, the data are deleted in accordance with the corresponding statutory requirements.
Use of the whistleblowing system
The communication between your computer and the whistleblowing system takes place through an SSL-encrypted connection. Your computer's IP address is not stored during your use of the whistleblowing system. In order to maintain the connection between your computer and the BKMS® System, a cookie is stored on your computer that merely contains the session ID (a so-called NULL cookie). The cookie is only valid until the end of your session and expires when you close your browser.
You can set up a secured postbox with your pseudonym / user name and password of choice in the whistleblowing system. This allows you to send reports to the respective responsible NADA staff member either by name or in an anonymous, safe way. In this system, data is stored exclusively in the whistleblowing system and is therefore especially secure; this is not a regular way of e-mail communication.
Sending attachments
During the report submission or when submitting additional information, you can send attachments to the respective responsible NADA member. If you wish to submit an anonymous report, please take note of the following security advice: Files can contain hidden personal data that could endanger your anonymity. Remove such data before sending. If you are unable to remove these data or uncertain, copy the text of your attachment to your report text or send the printed document anonymously to the address of the report recipient (see footer) with specification of the reference number that you receive at the end of the report process.
